# Manage workspace people and invitations

## What People manages

Open **People** from the Workspace section to manage who can access the active
workspace. You can invite teammates, assign a role, search the directory,
review pending invitations, and remove access when someone no longer needs it.

The **Members** tab under **Settings** provides an alternate entry point to the
same workspace-access area. Use **People** as the main destination when you
need to manage access.

## Roles and access

Choose the smallest role that lets a teammate do their work:

| Role | Typical access |
| --- | --- |
| **Owner** | Full workspace control, including people, billing, and workspace settings. |
| **Admin** | Manage workspace configuration and people, subject to owner-level restrictions. |
| **Agent** | Work with leads, conversations, and operational workflows without managing workspace access. |
| **Viewer** | View permitted workspace information without managing people or configuration. |

The owner cannot be removed or changed through the regular member controls. A
person also cannot change or remove their own access from the member list.
Available actions can depend on your role. If the page says that management is
restricted, ask the workspace owner or an admin to make the change.

## Invite a teammate

1. Open **People** and select **Invite people**.
2. Enter the person’s email address.
3. Choose **Admin**, **Agent**, or **Viewer**.
4. Review the role description and send the invitation.

The role descriptions are a useful decision guide: admins manage workspace
configuration and people, agents work with leads and operations, and viewers
have view-only access. Invite only people who should be able to see the
workspace’s customer and business information.

The invitation link opens an acceptance page. The invited person validates the
invitation, signs in or creates an account, and then accepts it. They can use
Google sign-in or the available email sign-in flow. An invalid or expired link
must be replaced by a new invitation from an admin.

## Seats and pending invitations

People shows the current seat summary, including occupied, reserved, used,
available, and plan-limit values when those values are available to the
workspace. A pending invitation reserves a seat until it is accepted, revoked,
or expires. This is why an invitation can prevent another invitation even when
the person has not joined yet.

If no seat is available, the panel disables the invitation action and points you
to the plan or to pending invitations that can be revoked. The **Add extra
seat** action, when available, shows the current amount and currency in the
panel. Confirm the current entitlement and price in **People** or **Billing**;
do not rely on a fixed amount copied from an older plan description.

## Review pending invitations

Use the **All**, **Members**, and **Pending** filters to switch between active
members and invitations that have not been accepted. Search by name or email
when the workspace directory is large.

For a pending invitation, you can:

- **Resend** it when the person did not receive or cannot find the message;
- **Revoke** it when access should no longer be granted; or
- Review its status and expiry information before deciding what to do.

Revoking an invitation releases its reserved seat. If the person still needs
access, send a new invitation after confirming the role and available capacity.

## Change a role or remove a member

For a member whose role can be edited, open the role control on the member row
and choose the new role. Role changes affect what that person can do in the
workspace, so tell the teammate when the change is intentional.

To remove access, use the member row’s remove action and confirm the warning.
Removing a member releases their seat. CRM leads assigned to that person become
unassigned and need a new owner; review the CRM after the removal so no

## Keep workspace context in mind

People belongs to the active organization or workspace. If a teammate or
invitation appears to be missing, first confirm that you are viewing the
