When to use this workflow

Choose Qualify & Schedule if you need to understand your customers before booking an appointment. This workflow is ideal for consultants, coaches, clinics, real estate agents, or any service business where knowing the customer’s needs upfront helps you prepare for the meeting.

How the AI handles conversations

  1. Greet the customer and introduce your services.
  2. Ask qualification questions — The AI asks a series of custom questions you define (e.g., “What type of service are you looking for?”, “What is your budget range?”, “Have you tried this service before?”).
  3. Store the answers — Each answer is saved as structured data on the customer’s lead profile for later reference.
  4. Check calendar availability — Once qualification is complete, the AI queries your Google Calendar for available time slots.
  5. Present available slots — The AI shows the customer the next available appointment times in 30-minute increments.
  6. Book the appointment — After the customer confirms a time, the AI creates the event on your Google Calendar with all qualification data included in the event description.

Note

The AI follows a structured step sequence: connect → qualify → schedule. It will not skip qualification and jump to scheduling. The customer must answer all qualification questions before seeing available times.

Custom configuration steps

Qualification questions

Define the questions the AI asks during the qualification phase. You can add as many questions as needed, and each question is free text. The AI will ask them one by one in conversation.

Examples:

  • “What type of property are you looking for?”
  • “What is your approximate budget?”
  • “When are you looking to start?”
  • “Do you have any specific requirements or preferences?”

Tip

Keep your questions concise and specific. The AI integrates them naturally into the conversation, so short, clear questions work better than long, compound ones.

Google Calendar connection

Connect your Google Calendar so the AI can check your availability and create events. This uses Google OAuth — you authorize Interlinked to read and write events to your calendar.

Calendar settings

Configure how the AI manages your scheduling:

  • Minimum notice — The minimum number of hours in advance a customer must book (default: 24 hours). Prevents last-minute bookings.
  • Maximum notice — The maximum number of days in the future a customer can book (default: 30 days). Prevents bookings too far ahead.

Calendar availability

Set your available days and times:

  • Available days — Select which days of the week you accept appointments (e.g., Monday through Friday).
  • Available hours — Set the start and end times for each available day (e.g., 9:00 AM to 6:00 PM).
  • Exceptions — Block specific dates when you are unavailable (holidays, vacations, etc.).

The AI only shows slots within your configured availability window. Existing calendar events are automatically excluded — if you have a meeting from 2:00 to 3:00 PM, that slot will not be offered to customers.
